You will be responsible for planning, organizing, staffing,…

You will be responsible for planning, organizing, staffing, directing, coordinating, executing, and evaluating a realistic one-time event. In the role of “Event Manager” you will create an event management project plan for an event that you are managing. Within this event plan, you will choose both an organization for which are working, and an event of which you will be manager.

For example, consider that you are a youth parks and recreation director in your local city. One of the goals for your organization would be to create more revenue opportunities by hosting a two-day, 12-team baseball tournament at your local sports recreation complex. As the event manager, it is your responsibility to develop the overall planning for this project, including the budget, marketing and sponsorship plan, and overall operation and evaluation plan.

Using real world information and outside research, you will summarize the event plans as an event manager would prior to the event. Managers use this sheet to communicate with all stakeholders associated with the event. Use a team/organization that you are familiar with to be as accurate as possible in your planning. Be sure to revert back to items and concepts you have learned throughout the text and course resources to be as complete as possible in your event plans.

Event Management and Staffing Plan

In order to complete this assignment, the following information will need to be submitted in a single, MS word document (.doc or .docx only), that includes a cover page, table of contents, and the following sections:

Event Risk Management Plan (Chapter 9)
Identification of Risks
In this section, you will be identifying and classifying possible risks associated with your sport event.
You should identify three (3) potential risks for your sport event.
Assessing and Classifying Risks
This section should include a risk management matrix, similar to the Figure 9.1 on page 141 of the course text.
As noted in the text, this matrix should provide information to include risk identification, defining the levels, classifying the severity, and assessing the probability of occurrence.

Treating and Managing Risks

Next, you will be deciding how to manage or treat the identified risks on the basis of the four possible paths to treating the risk: accept (retain), reduce, avoid, or transfer.
See page 141 of the course text for further explanation of these paths.

Event Staffing Plan (Chapter 10)
Within this section, you should provide an overview of how your event will be staffed. You are welcome to organize this section any way you’d like, however, it should refer back to your event mission, goals and objectives from Part I.

Be sure to identify whether your staffing needs will be formulated using full-time, part-time, or volunteer staff. Additionally, make note if there are any outsourced functions for your event. Keep in mind that outsourcing will impact your budget, so this should be a consideration.

See the section “Identifying Necessary Staff” on page 162 of your course text for more guidance on this portion of your project.
