You work as the Administrative Assistant to Marion Morrison, owner of Morrison Electronics. 

Please review the four scenarios on the following pages and compose professional emails which are appropriate for each situation. In each case, please decide whether you should copy (CC) or blind copy (BCC) Marion or anyone else on the email.

You’ll be graded on all elements of the email: the distribution (TO/CC/BCC), subject line, greeting, opening, message content, closing, and signature, as well as your choice of language, tone, spelling, grammar, and style. When you add a name to the distribution, simply add the name rather than making it look like an email address (e.g., Marion Morrison, rather than m..n@morrisonelectronics.c).

 

Scenario 1:

Jenny White is one of the Marketing Analysts you work with. You like Jenny, but you find her quite disorganized. For instance, this is the third time this month that she’s emailed you asking you to provide her with her password for MCRM – the Morrison Customer Relationship Management system. At this point, even you remember her password is Jenny5195.  Please compose a message to Jenny providing her with her password and addressing her many emails to you.

 

Scenario 2:

Miss Morrison has asked you to provide her with a sales report by tomorrow at 11 am. You divided the work so that everyone on your team is contributing a section. Your team members are: Joanne Roman, Ty Parker, Katie Sands and yourself. It’s now 3:30 pm and Joanne is the only team member who has not submitted her work. If you receive her work by 5 pm today, you’ll still be able to meet the deadline. Please compose an appropriate email to Joanne.

 

Scenario 3:

Your team from scenario 2 (Joanne, Ty, Katie and yourself) has been asked to come up with some ideas for a new marketing campaign. Everyone has emailed their ideas to you for review and editing. As you read Ty’s email, you realize that his idea will cost more than the $10,000 budget assigned to the project, and it has timelines which exceed the January 31 deadline. Please compose an appropriate email to Ty.

 

Scenario 4:

It’s Monday morning and you’ve just received an email from Miss Morrison asking if you could work late this Wednesday evening. She’d like to discuss some issues with a major customer – Forest City Manufacturing, but she can’t meet until 6:00 pm. To make up for staying late, Miss Morrison has offered to order dinner from Thai Garden, your favourite restaurant. The problem is that you’ve already committed to help your nephew study for his math test from 5:30 pm to 6:30 pm on Wednesday evening, so you can’t work late. Please compose an appropriate message to Miss Morrison.
